Department Info

The objectives of the European Medical and Clinical Division are to organize, manage and conduct clinical trials by respecting all regulatory requirements and Good Clinical practice, to communicate clinical data to wider audience, to manage all medical aspects of company products, and to contribute to the new products and new therapies development.

Job Summary

You're main responsibility will be to give administrative support to the EMCD team. You will have the opportunity to help the management of the EMCD division manage their onboarding process, events and daily routines. 

Job Responsibilities

1. Mobile Expenses and Travel support

- You will be the contact person for the flight bookings, transport and Mobil expenses of the EMCD team

- You will provide admin support to upper Management

 

2. Events

- You will have the opportunity to attend congresses such as LINC, ECIO, etc.

- You will also be asked to help preparing EMCD events

 

3. Logistics & equipment

- You will manage logistics for internal & external meetings and TC (i.e., sending invitations, request coffee, room assistance, etc.)

- You will order office equipment and business cards for the department

- You will prepare minutes & meeting materials

 

4. Onboarding & training

- You may be asked to create binders and training plan sheet for new employees, help them get their office equipment, and guide them around in the TE and EMCD office

 

5. General support

- You will provide Office support (ie, screening calls)

- You will set-up conference calls, give access rights, manage mail rooms & email groups, etc.

- You will be in charge of purchasing and facilities management

- You'll be receiving and directing visitors

- You are in charge of compliance of EMCD (send out reminders for overdue tasks & guidelines such as the travel policy)

 

6. Other

- You are expected to act as a representative of the company

- You should assume all other responsibilities and authorities this function may require regarding new opportunities

Profile Description

The candidate we are looking for has the following profile:

- You have a Bachelor's degree with at least 3 years of work experience in a similar position
- You have good knowledge of English and Dutch (written and spoken), knowledge of French and German is an asset 
- You have strong communication and writing skills
- You have advanced computer skills (MS office and internet search skills)
- You are flexible and social
- You need to be sensible with confidental matters
- Working in an international environment doesn't scare you off
- You are able to function self-reliant and resistant to stress
