Terumo EMEA's Information Systems department, based in Haasrode, Belgium, provides Information & Communication Technology (ICT) support services to both internal and external customers across the EMEA region. ICT is a critical function within the Terumo EMEA (TE) organization, subject to rigorous regulations and audits. As part of the ICT department, the ICT Operations team is integral in delivering high-quality administrative support, collaborating closely with the ICT Applications team.
 

Job Summary

 

We are seeking an administrative support specialist to join our ICT Operations team. The ideal candidate will play a key role in assisting with hardware and software procurement, managing administrative tasks, and supporting the smooth operation of ICT services. This role requires a proactive, customer-centric attitude with a focus on effective communication and collaboration

Job Responsibilities


Administration

Request quotes from third parties for hardware and software purchases.

Register Purchase Orders (POs) in SAP and track the approval and delivery process.

Ensure accurate registration of delivered goods in SAP.

Assist in investigating discrepancies between POs and invoices.
 

ICT Operations

Follow-up and assign ICT Operations tickets to the appropriate team members.

Manage the ICT Operations mailbox and provide timely feedback to end-users.

Work closely with the ICT Service Integration and Management Coordinator.
 

License & Certificate Management

Maintain an up-to-date list and report on Terumo's software licenses, including Microsoft, SAP, and other applications.

Propose optimizations and improvements for software licensing.

Collaborate with ICT Strategic Partners to ensure full software compliance.

Manage and optimize the administrative aspects of Terumo’s certificates.
 

Communication

Act as a central point of contact between business units, end users, and the IT department for administrative services.

Assist various departments in understanding and implementing software license and certificate strategies.

Profile Description

 

A university degree (preferred) or a Bachelor’s equivalent through experience in a similar administrative or ICT role.

Strong communication and documentation skills.

A proactive, customer-oriented mindset with a drive to deliver world-class ICT support.

Strong team player with excellent organizational skills.

Proficient in English (written and spoken). Knowledge of other languages is a plus.

Willingness to learn Dutch if no prior knowledge is present.
