Job Summary
ou provide reliable and proactive administrative and sales support to the Distribution Markets organization within Terumo Interventional Systems. Based in our Dubai office, you support sales and management teams in their day‑to‑day activities, helping ensure smooth operations, accurate coordination, and effective internal service. In this role, you report directly to Farah Hamdan, VP Sales Distribution Markets, TIS Business Unit, and work closely with regional stakeholders across the Growth Emerging Markets (GEM) region (CEEMEA)
Job Responsibilities
Sales & Commercial Support
You support the commercial organization with accuracy, structure, and follow‑through by:
- Maintaining price lists, inputting pricing, and supporting the preparation of offers and contracts.
- Maintaining customer data dashboards and ensuring data accuracy and timely updates.
- Supporting business analytics by tracking KPIs, preparing insights, and following up on open items with internal stakeholders.
- Following up on stock status, backorders, allocations, and demo or trial requests with internal teams.
- Supporting requests for new medical materials and preparing documentation for internal approval committees.
- Running, consolidating, and maintaining sales reports, BI data, and customer information.
- Assisting sales representatives with brochures, product codes, materials, and basic portfolio information.
- Supporting tender administration and collecting required regulatory and compliance documentation.
Executive & Management Support
You provide dependable organizational and planning support by:
- Managing agendas, travel arrangements, and meeting logistics for senior management.
- Managing expense reports for senior management, including submission, tracking, and timely reconciliation.
- Planning the region’s operating rhythm and calendar, including leadership team agendas, QBRs, and annual planning cycles.
- Organizing team meetings, QBRs, and internal events (virtual and onsite).
- Developing executive materials such as decision memos, ExCo packs, and briefing notes.
- Preparing, compiling, and following up on meeting materials and action points.
- Supporting business reviews through report consolidation and basic analysis.
- Coordinating with team members to ensure timely delivery of required inputs.
Quality & Compliance Support
You contribute to a compliant working environment by:
- Providing administrative support for product performance reviews (PPR), recalls, and complaints.
- Acting as a backup for the complaints coordinator when required.
- Ensuring all activities follow GMP, safety requirements, and internal procedures.
General Support
You collaborate flexibly across the organization by:
- Supporting translations of marketing or tender documentation when needed.
- Assisting cross‑functional teams as required.
- Acting as a backup for other administrative assistants and performing additional reasonable tasks.
Profile Description
You are well‑suited for this role because you bring:
- A bachelor’s degree in administration, office management, or equivalent experience.
- 2–3 years of experience in an administrative, sales support, or executive assistant role.
- Strong MS Office skills, with strong PowerPoint capabilities.
- Previous experience working with AI, with the ability to use digital tools to improve reporting, content preparation, and efficiency.
- Excellent command of English; additional languages are a strong asset.
- Strong communication skills and a strong problem‑solving mindset, with a practical and service‑oriented approach.
- A highly organized, accurate, and discreet working style, with the ability to manage confidential information.
- The ability to prioritize effectively, work independently, and manage interruptions.
- A valid UAE work permit and current residency in Dubai (mandatory).
- Willingness to travel occasionally if required.
