Within our Interventional Systems (IS) business in South Africa, we partner closely with healthcare professionals to deliver high-quality solutions that support minimally invasive procedures and improve patient outcomes.
To support our growing commercial activities, we are looking for a proactive and highly organized Sales Assistant to join our Interventional Systems team. In this role, you will play a key part in ensuring the smooth day-to-day operation of our commercial organization by supporting our Sales Representatives and collaborating with multiple internal departments.
Job Summary
As a Sales Assistant – Interventional Systems, you provide comprehensive administrative, operational, and commercial support to the Sales team.
You will coordinate a wide range of activities, including sales administration, customer master data, pricing, consignment management, finance administration, events, logistics, and compliance. Acting as a central point of coordination, you help ensure efficient business operations while delivering outstanding service to both internal and external customers.
Job Responsibilities
Sales & Commercial Support
- Provide day-to-day administrative support to the Interventional Systems Sales team.
- Prepare customer quotations and support public and private tender submissions.
- Assist Sales Representatives with customer documentation, quotations, reports, and system-related queries.
- Support sales reporting and business analysis through Power BI and other reporting tools.
Customer & Commercial Administration
- Create, maintain, and update customer master data within SAP.
- Process customer creations, amendments, approvals, and supporting documentation.
- Maintain customer allocations, ship-to addresses, and prospect databases.
- Manage consignment agreements, approvals, customer signatures, and related documentation.
- Support Sales Representatives with consignment procedures and ensure compliance with company requirements.
Pricing & Systems Support
- Maintain SAP price files and implement approved pricing updates.
- Process customer-specific pricing and coordinate updates with Customer Service and IT.
- Generate quotations in Salesforce and provide first-line support to Sales Representatives.
- Coordinate Salesforce user access and liaise with system support teams when required.
Finance, Logistics & Operational Support
- Raise purchase orders, process goods receipts, submit invoices, and follow up on supplier payments.
- Coordinate month-end purchase order closure and cost centre allocations.
- Support inventory administration, product returns, courier collections, and logistics activities.
- Coordinate onboarding activities, business cards, SAP user requests, sales meetings, and provide general operational support where needed.
Events & Marketing Coordination
- Coordinate local and international training events, workshops, conferences, and exhibitions.
- Arrange travel, accommodation, visas, venue bookings, and event logistics.
- Coordinate promotional materials, supplier quotations, hospital branding, and marketing support activities.
Compliance & Continuous Improvement
- Support audit activities, pricing approvals, and compliance documentation.
- Ensure adherence to company policies, quality standards, and regulatory requirements.
- Continuously improve administrative processes, document control, and filing systems while maintaining a strong customer service focus.
Profile Description
- Grade 12 / National Senior Certificate.
- Diploma or Bachelor's degree in Business Administration, Sales Administration, Commercial Management, or a related field is an advantage.
- Minimum 3–5 years of experience in a Sales Administration, Commercial Support, or Sales Operations role.
- Experience working with SAP (or another ERP system), Salesforce, Microsoft Office, and Power BI.
- Strong administrative, planning, and organizational skills with excellent attention to detail.
- Ability to manage multiple priorities and work effectively under deadlines.
- Excellent communication and stakeholder management skills.
- Proactive, customer-focused, and able to work independently as well as collaboratively across teams.
- Experience with tender administration, pricing, finance processes, or compliance is considered a strong advantage.
