Terumo Sweden is a daughter company under Terumo EMEA and represents Terumo EMEA in mainly the Nordic countries.  In the Nordic organisation we are totally 24 associates with 8 associates in our office in Gothenburg, with specialists in customer care, sales & marketing support, finance and tender management, supporting our many sales- and marketing colleagues in the field.

Job Summary

As Tender Coordinator you are supporting the sales team in Sweden, Denmark and Finland, with the administration of the public procurement tenders and contract administration.  When requested you also support our distributors in other Nordic countries with replies to tender questions.

Job Responsibilities

Tender/ contract administration

You proactively support the tender preparation phase, attending meetings and provide information as appropriate.  You are the main contact regarding all tender related matters, and you are together with sales active in searching for upcoming tenders in portals like Mercell.
In addition, you review the evaluation criteria for each tender submission and ensure requirements are fulfilled leading to a successful tender submission and award.
Furthermore, you review the legal and commercial content of the tender documents, keeping compliance in top of mind, making sure all Terumo quality standards are met.  You follow up and report to your superior manager if, in case of issues, contact needs to be taken with the legal team or other experts.

Produce the tender

You proactively manage the tender from start to finish, using a Project Management approach, in collaboration with the commercial team, your supply chain colleagues and other stake holders.  You make sure all deadlines are met before submission.

Tender Submission

You evaluate and communicate the final tender before submission and manage the contract with the Country Coordinator.  You communicate all prices internally for entry in SAP for contract start and extension.
You monitor the development in tender legislation, technology and digitalisation.  You will have the chance to attend trainings arranged by Medtech associations and/ or others, and network with other tender coordinators within Terumo EMEA to exchange best practices. When needed, you co-travel with the sales team to our clients to gain further understanding.
Prior to business and budget meetings, you provide sales managers and the management team with contract status.
You make sure all data is stored according to procedures, you update Salesforce.com er and make reports/analytics & statistics for business or clients when needed. 

Awardation of tender

You communicate the award decision from the customer to the sales team and you follow up with the country coordinator if there are still open issues. You arrange the singing of the contract by the Country Coordinator, and you archive the contract according to our quality procedures.

Profile Description

You have a bachelor or master’s degree in business or administration.
You have a previous experience with public procurement.  Experience from the medical device industry is a strong plus.
You are fluent in Swedish and have a good knowledge of Danish and English.  Knowledge of Finish is a plus.
You can work individually when needed but are also a good team player.
You pay attention to detail, can adapt to changing priorities and are a good planner.
As we value teamwork, you can work in our office in Gothenburg minimal 3 days per week.
