Terumo Recruitment Privacy Policy

1. We Care about your Privacy

1.1.   Terumo Europe NV and its Affiliates (hereinafter collectively "Terumo" or "we") are committed to protecting your Privacy and Personal Data and to respecting your rights. This Privacy Notice ("Notice") explains the types of Personal Data we may collect and how we use, share, store and secure your Personal Data, when you are applying to an open vacancy at Terumo Europe and at Terumo Europe Affiliates.

2. Ways in which we collect your data

2.1.   We collect Data that you have voluntarily provided to us when applying for an open position on our career platform.

2.2 We also collect your Data through third parties such as recruitment or interim agencies in the framework of an open position at Terumo. Terumo will communicate this notice to the potential candidate during the first contact or we will make sure that our external partner provide you with this privacy notice when sharing your data with us.

2.3.   We may also collect your Data when you visit our web-site or use on-line applications through the use of commonly used tracking technologies such as cookies. Such data includes the pages you visited, the date, time and duration of your visit, your web browser, your IP address, the type of operating system you are using and the domain name of your Internet service provider. 3. We process different categories of Data

3.1.   We may collect and use the following categories of Personal Data:

examples: such as the education you have followed, trainings, diplomas, and certificates;

examples: such as your language skills, professional knowledge or expertise, certifications, references and other information we can find on your resume, your current job title and the company you work for, any mandates you may hold, your professional location, your professional remuneration, previous job and work experience, date of departure, reason for leaving, evaluation and skill assessment report based on the interviews at Terumo.

Preferences, interests, lifestyle or behavior

examples: if you have entered this information in your CV or presentation letter.

examples: photographs, pictures, if included in your CV

 

3.2.   In addition to the Data categories listed above, we may use other types of Data relating to you that you may have voluntarily provided to us.

3.3       We aim to obtain all relevant information for recruitment directly from the applicant. However, if we deem it necessary, we can contact previous employers to find out about you and your professional experience, but only after obtaining your permission to do so.

4. We use your Data for specific purposes

4.1.   We may use your Personal Data to the extent necessary for recruitment and selection purposes. The personal data processed are related to the position to be filled and are limited to the data necessary to verify the extent to which your motivation, knowledge, skills, competencies and experience correspond to the profile of the position for which you are applying or have the required qualities. In particular, we process your data if:

  • necessary to evaluate your experience and skills for the position you have applied for, based on a contractual necessity to enter into a potential employment relationship.
  • you have consented to keep your data for positions matching for a period of one year.

5. Sharing your Personal Data

5.1.   Within Terumo we restrict access to your data to employees and any person acting under our authority on a need-to-know basis, who respect our confidentiality rules and comply with our instructions.  

a) Internally:

Terumo Europe NV receives all applications on the Terumo career’s website. We may share your data with the competent recruitment manager and with the HR partner based on the contractual necessity in order to assess the suitability of your profile within the company and the specific department. Depending on the position these associates might be located at any of our Affilaites’ location within EMEA (enter link), some of them in countries outside of the EEA, with privacy standards that differ from the GDPR. However, all of our associates are subject to confidentiality and all Terumo Europe affiliates comply with the Terumo Europe Privacy Policy. Moreover, transfers from Terumo Europe to affiliates outside the EEA are covered by intercompany data transfer agreements in line with EU privacy and data protection law with respect to the Standard Contractual Clauses.

b) Externally

We may share your Data to selected third parties outside Terumo who provide services to us or on our behalf, such as:

  • Agencies that provide test to assess your experience and skills. All such service providers are contractually bound and obliged to comply with required privacy standards in compliance with applicable law.
  • Recruitment and selection offices that submit candidates, to conduct initial interviews and administer personality and skills tests.

These companies are directly subject to the legal obligations imposed by the GDPR. This implies that your personal data will be protected by these organizations in accordance with the obligations imposed by the GDPR.

5.2.   When we share your Personal Data with third parties or other Terumo entities who process Data on our behalf as processors we will ensure those parties provide sufficient guarantees on the lawfulness, transparency and security of your Personal Data in line with applicable data protection law.

6. We keep your data for a limited period of time

We process your personal data for as long as it is necessary for the purposes for which we need it. We apply several retention periods, depending on the context of the selection process:

a) Applications for the specific position

We keep your personal data that has been processed during our recruitment and selection process, for the time necessary to process your application and for a maximum period of 12 months after the vacancy is filled. We can still contact you if the selected person is finally not recruited or if it is decided to end this cooperation early within the given period.

b) Recruitment reserve

If you are not selected for a specific position but you consented to be contacted for future vacancies, we will keep your data during one year after your consent. You always have the option to login to the portal to disable the consent you have before your application, and your account will be purged within 24hours.  If you require support, you can reach out to privacy@terumo-europe.com, in which case the company will delete your personal data.

7. We respect your rights

7.1   Under the privacy laws you have certain rights in relation to the Personal Data we hold about you:

Access: You may request access to the personal data we have about you.   

Correction and Deletion: You may request that we correct your personal data if you think it is inaccurate or incomplete. You can also request that we erase or delete your personal data in certain circumstances.  

Restrict Processing:  You may request that we restrict the processing of certain personal data.

Data Portability: You may request us to provide your data to another entity.    

Object: You may have the right to object to our processing of your personal data for certain purposes. 

Withdraw consent: If we use or share your personal data based on your consent, you may withdraw your consent at any time.

Lodge a Complaint: If you believe we are processing your personal data in a way that is not in accordance with applicable law, you can lodge a complaint with the relevant data protection authority in your country.

8. Security

We have reasonable and appropriate security measures in place to protect against the loss, misuse, and alteration of any personal data we receive. We have implemented reasonable, risk-based technical and organisational measures to ensure that your Data is protected from loss or disclosure, unauthorised use, modification or destruction.
