RECRUITMENT PRIVACY NOTICE
1. ABOUT US
TERUMO EUROPE N.V. and its Affiliates (“Terumo”, “we”, “us”, “our”, “ours”) are strongly committed to privacy and personal data protection and to respecting your rights.
The controller of your personal data for the recruitment process is Terumo Europe NV.
Once you have been selected, the onboarding process will start and the Terumo entity for which you will work will become separate controller of your data from that moment. 2. SCOPE OF THIS PRIVACY NOTICE
This Privacy Notice (" Notice") is addressed to job applicants of all the entities of the Terumo Europe group and it explains the types of personal data we may collect and how we use, share, store and secure your personal data, when you apply for a position at Terumo.
3. SOURCE OF YOUR DATA
We collect data that you have voluntarily provided to us when applying for an open position on our career platform.
We also collect your data through third parties such as recruitment, interim or temporary agencies.
In both cases, you will be informed about how Terumo process your data.
4. PERSONAL DATA THAT WILL BE PROCESSED ABOUT YOU
We may collect and use the data that you provide to us in your CV and supporting documents, as well as data collected in the course of your interactions with our recruitment personnel or partners based on the potential contractual relationship with you. The data may include:
- Contact and identification data: such as your name, address, e-mail address, telephone or mobile phone number, your account details (e.g. log-in to the platform), with the purpose of contacting you and setting up the corresponding interviews.
- Education data: such as the education you have followed, diplomas, and certificates, with the purpose of assessing your fit to the role and the company.
- Professional data: such as your language skills, professional knowledge or expertise, certifications, references and other information we can find on your resume, your current job title and the company you work for, your professional remuneration, previous job and work experience, date of departure, reason for leaving, evaluation and performance reports, with the purpose of assessing your fit to the role and the company.
- Assessments: data resulting from assessment centres, with the purpose of assessing your fit to the role and the company.
- Habits and interests, lifestyle: if you have entered this information in your CV or presentation letter. However, this will not be considered to assess your fit to the role and the company.
- Image data: photographs, pictures, if included in your CV. However, this will not be considered to assess your fit to the role and the company.
- Criminal records: this data will be collected only in those cases where the nature of our business requires that our associates have access to areas that must comply with aviation security and consequently, we need to be made aware of any unspent criminal convictions whether acquired prior to or during the relationship. This is based on a legal obligation.
Failure to provide certain Personal Data may result in us not being able to complete the engagement process or any other activities described in this document.
5. SHARING YOUR DATA
Within Terumo we restrict access to your data to employees and any person acting under our authority on a need-to-know basis, who respect our confidentiality rules and comply with our instructions.
a) Internally:
Terumo Europe NV receives all job applications and may share your data with the competent recruitment manager and with the HR partner in order to assess the suitability of your profile. They will mostly be located within the European Economic Area (EEA) but in few cases they will be in countries outside of the EEA, with privacy standards that differ from the GDPR. However, all of our associates are subject to confidentiality, and transfers from Terumo Europe to affiliates outside the EEA are covered by an intercompany data transfer agreement in line with EU privacy and data protection law and with respect to the Standard Contractual Clauses provided by the European Commission.
b) Externally
We may share your data to selected third parties outside Terumo who provide services to us or on our behalf, such as:
- agencies that provide test to assess your experience and skills.
- recruitment and selection offices that submit candidates to conduct initial interviews and administer personality and skills tests.
These companies are directly subject to the legal obligations imposed by the GDPR. This implies that your personal data will be protected by these organizations in accordance with the obligations imposed by the GDPR.
When we share your personal data with third parties or other Terumo entities who process data on our behalf as processors we will ensure those parties provide sufficient guarantees on the lawfulness, transparency and security of your personal data in line with applicable data protection law.
6. We keep your data for a limited period of time
We process your personal data for as long as it is necessary for the purposes for which we need it.
We keep your personal data that has been processed during our recruitment and selection process, for the time necessary to process your application and for a maximum period of twelve months after the vacancy is filled because we will still need the data for system administration purposes, to contact you for similar roles during this period and for analytics (with aggregated data). After this period, we will only retain aggregated data (anonymized data) to perform analytics about our recruitment processes.
7. RIGHTS OF A DATA SUBJECT
According to applicable privacy and data protection laws, you may have certain rights regarding the Personal Data we hold about you. This includes (in certain circumstances):
- the right to request access to and ask us for a copy of your personal data;
- the right to rectify your Personal Data to ensure it is accurate and up to date;
- the right to erase or restrict the processing of the personal data;
- the right to object to the processing of your personal data;
- the right to withdraw your consent, where we rely on your consent to process your personal data;
- the right to have your personal data transferred to another party (portability);
- the right not to be subject to any decision that significantly affects you and is taken solely by automated processing, including profiling.
- To lodge a complaint: If you believe we are processing your personal data in a way that is not in accordance with applicable law, you can lodge a complaint with the relevant data protection authority in your country.

8. SECURITY OF YOUR DATA
Terumo takes all steps reasonably necessary to ensure that appropriate technical and organizational measures are in place to safeguard your personal data and to prevent your personal data from being accidentally lost, used or accessed in an unauthorized way, altered or disclosed.
